Understanding write-back
Overview. Write-back is IdentityCheck putting the outcome of a check straight back onto the client record in the system you already use, so nobody re-keys anything. When a check completes, the status updates and, for a Tranche 2 risk assessment, the result fields fill in. What you get depends on the system: XPM, HubSpot and FYI receive the full result set, Karbon receives a note, and Monday receives status columns only. If a result has not appeared, timing is usually the reason: on XPM and FYI the hourly sync only affects the trigger that starts a check, while the write-back itself lands within a minute or two of the check completing.
What write-back means
When you start a check from your practice system, you do not want to go and copy the answer back by hand. Write-back is IdentityCheck doing that step for you: as the check progresses and then completes, IdentityCheck updates the status and result fields on the same client record you started from. Your system of record stays current on its own, which is exactly what good record keeping looks like.
There are two things that get written: a status that tracks the check as it moves along, and, for a completed Tranche 2 risk assessment, a set of result fields (the risk rating and its supporting detail). What lands where depends on which system you have connected, and that is the important part to get right, so the sections below break it down system by system.
What each connected system receives
Different systems behave differently, so plan around the one you use. The table below reads platforms down the left and workflow types across the top. Cells show the field names each platform receives.

The key thing to remember: XPM, HubSpot and FYI get the full five-field Tranche 2 result set. Karbon gets a note, not profile fields. Monday gets status columns only. Screening results (PEP, sanctions and adverse media) always sit on the verification itself and in the report PDF; HubSpot also receives them as structured contact properties, while other systems carry them in the note or report rather than as separate fields.
Monday is status columns only
Monday deserves its own note because it is the biggest exception. On a Monday board, write-back is limited to status columns: the Risk Assessment Status column and the Risk Assessment rating column (High, Medium or Low).
Monday does not receive the risk-assessment link, the completed date, the completed-by name, or an AML Status field. In particular, there is no clickable link to the full assessment on the Monday board. If your firm relies on opening the full risk-assessment record straight from the client record, use XPM, HubSpot or FYI for that, and treat the Monday board as a progress-and-rating view.
For a plain KYC check
Everything above describes the Tranche 2 (AML) risk-assessment result. For a plain identity (KYC) check, write-back is simpler: the connected system receives the verification link and, on decision, the KYC status and identity result written back onto the client record. This runs alongside the Tranche 2 behaviour and is unaffected by it.
Why a result might not have appeared yet
If you are looking at a client record and the result is not there, work through these in order before assuming something is broken.
- Timing. On XPM and FYI, the hourly background sync applies only to the trigger that starts a check, so the check itself can take up to an hour to go out. The write-back does not wait for that sync: once a check completes, the result lands within a minute or two. HubSpot, Karbon, Monday and Clio trigger in real time as well.
- Has the check actually completed? Result fields only fill in once the assessment finishes. A check that is still in progress will show a status, not a final rating.
- Right record, right system. Confirm you are looking at the client the check was started from, in the connected system.
- Is the integration connected and the flow on? A Tranche 2 write-back needs the account-level Tranche 2 flow switched on as well as the integration connected.

If you need the result as separate, sortable fields on the client record, XPM, HubSpot and FYI store it that way.
