Archiving and restoring a team member
Overview. When a colleague leaves or no longer needs to be in IdentityCheck, you archive them. Archiving removes their access to your account and signs them out immediately, while keeping their record for your audit trail. It is reversible: you can restore access at any time.
Who can archive a team member
Available to account owners and admins. Two people cannot be archived: the account owner (owners are protected), and yourself. If ownership needs to move, arrange that first by creating a support ticket.
How to archive someone
- Go to Manage Users (identity.stackgo.io/account/users).
- Find the person and choose the archive action on their row.
- Confirm in the dialog. It reminds you that archiving removes their access to this account and ends their sessions, and that their record is retained so you can restore them later.
The change takes effect immediately.
What archiving actually does
- Access to this account is removed.
- Active sessions end straight away (if signed in, they are signed out at once).
- The record is retained for the audit trail. Not a permanent delete.
- Their default account may move. If your account was their default, IdentityCheck moves it to another account they still belong to.
- A last-account archive clears their login credentials. If this was their only account, their global login is cleared; on restore they set a new password.
Archived members drop out of the main list. Use Show Archived on Manage Users to see them.
How to restore someone
- On Manage Users, click Show Archived.
- Find the person and choose the restore action.
- Confirm. Their access is re-granted. If credentials were cleared, they reset their password (self-serve).
When to archive rather than leave a login active
Only current staff should see client identity information. When someone changes role or leaves, archive them promptly so access ends the same day. Because archiving is reversible and keeps the record, there is no downside to acting quickly.
