Periodic reviews and re-KYC

Overview. IdentityCheck re-reviews every rated client on a cadence you set per risk tier, so higher-risk clients come around more often. Each day it turns newly due clients into review tasks and emails your assessors. You then resolve each review with one of four actions, including a full re-KYC that sends the client back through the whole Tranche 2 flow.

Periodic reviews help you keep customer due diligence current and evidenced. Your firm decides the review periods that suit its risk appetite; IdentityCheck schedules the work and records what you did.

How often do I re-review clients, and how do I set the frequency?

You set the review cadence yourself, in whole months, for each of the three risk tiers. For example, you might review high-risk clients every 12 months, medium every 24 and low every 36. Higher-risk tiers must be reviewed at least as often as lower-risk ones, and all three periods are required before periodic reviews can be switched on.

From then on the scheduling is automatic. Whenever a client is rated, whether on their first assessment, on a rating change, or when an EDD case closes, IdentityCheck stamps their next review date for you. There is no manual diary to keep.

Each day the platform turns newly due clients into review tasks and emails your assessors when a client first becomes due. While reviews remain open, it sends at most one "reviews still need attention" reminder per account per day. These emails are deliberately general and do not include client names, so nothing sensitive travels by email; you open the dashboard to see what needs doing.

How do I resolve a review, and how do I re-KYC a client?

When you open a due review, you resolve it by choosing exactly one of four actions:

  • Full re-KYC. Re-onboard the client through the whole Tranche 2 flow. Before the link is sent, you confirm the client's contact details; for HubSpot-originated clients, a "Refresh from source" button pulls the latest details live so you are not working from stale contact data.
  • AML screening only. Run a fresh PEP and sanctions screen and push out the next review date. The result is recorded in the PEP and sanctions area for you to check.
  • Open an EDD case. Escalate the client into Enhanced Due Diligence. The review stays in progress until a reviewer resolves it, so treat it as a task you come back to. The EDD settings that govern this live in your Tranche 2 settings.
  • Close. Record that the client is no longer a customer, with a required reason.

You can also open an off-cycle review for any rated client at any time, with a reason, if something prompts you to look sooner than the schedule would.
