Sending checks: one-by-one, in bulk, or self-serve

Ways to start identity checks in IdentityCheck: send to one client directly, verify people in bulk (your clients or your staff), or publish a self-serve link clients use themselves. For ongoing volume, trigger checks from a connected system.

Sending checks: one-by-one, in bulk, or self-serve

Overview. IdentityCheck gives you several ways to start identity checks: send a request to one client directly, verify many people in bulk (your clients, or your own staff), or publish a single self-serve link that clients open to verify themselves. For ongoing volume, the best route is often to trigger checks automatically from a system you already use, such as Xero Practice Manager. Direct sending is on the free plan; bulk sending is a paid-plan feature.

How do I send a check to one client?

The simplest way is a Direct Verification. A staff member enters the client's name and email and sends an identity-verification request. The client receives an emailed link, and an SMS as well if a mobile number is on file, and completes the check on their phone or computer.

To save typing, you can look up and auto-fill a client's details from a connected Xero Practice Manager organisation or Pipedrive before you send, so you are not copying contact details by hand. Direct Verification is available on the free plan, which makes it a good way to try the process end-to-end with a real client.

This is the right choice for day-to-day onboarding: a new client comes in, you send them a check, and the result comes back to your firm. To understand what your client experiences once they open the link, see How identity verification works.

How do I verify a lot of people at once?

When you need to check many people, you can send in bulk. It is worth being clear that there are two different bulk use cases, and they are not the same thing:

  • Bulk client verification — verifying a batch of your clients, for example re-verifying an existing client base or onboarding a group of new clients.
  • Bulk staff verification — verifying your own staff or employees, which some firms need to do for their own obligations.

Both work the same way:

  1. Add people manually, or upload a CSV with three columns: first name, last name and email.
  2. Compose your email and preview it, with your firm's branding applied.
  3. Send. Everyone receives their own individual link.
  4. Review a per-person table showing who was sent successfully and who was not, with copyable links you can re-share if needed.

There is no fixed batch limit. For large volumes, contact our team and we will help you arrange the bulk load around your needs. Bulk sending is a paid-plan feature, so it is not available on the free plan.

For ongoing volume, trigger checks from your existing system

If you are regularly verifying people, uploading CSVs by hand is rarely the best long-term approach. Where you already run a practice or CRM system, it is usually better to trigger checks automatically from there, so a verification fires as part of your existing workflow rather than as a separate bulk job. If that suits how you work, talk to us about your setup and we will help you get it running.

Can clients verify themselves?

Yes. Your firm can publish a single public self-serve link that any of your clients can open to verify themselves end-to-end, with no staff initiation at all. An admin enables the link and sets a daily limit on how many people can start through it.

The link is a single, stable, reusable web address, so you can put it on your website, in an onboarding email or in a welcome pack. A client opens it, enters their name and email, and is taken through the verification. If they step away partway, the email they receive links them back to their in-progress verification so they can return and finish. Because the link is public, it sits behind layered checks to keep out bots and junk submissions, and you keep control through the daily limit and the ability to switch the link off at any time, which closes it immediately without affecting checks already in progress or completed.

Completed self-serve verifications land on your firm's dashboard tagged as a public form, so you can see at a glance which checks came in this way. It is a low-effort option for firms that would rather point clients to a link than send each request themselves.

Frequently asked

How do I verify a lot of clients at once? Use bulk client verification: add people manually or upload a CSV with first name, last name and email, compose and preview a branded email, and send. Everyone gets their own link and you see a per-person table of who sent successfully. There is no fixed batch limit. Bulk sending is a paid-plan feature.

What is the difference between bulk client and bulk staff verification? They are two different use cases. Bulk client verification is for verifying your clients, for example re-verifying an existing client base. Bulk staff verification is for verifying your own staff or employees. Both use the same add-or-upload flow, but they serve different obligations.

Is there a limit on how many people I can verify at once? There is no fixed batch limit. For large volumes, contact our team and we will help you arrange the bulk load, or set checks to trigger automatically from a connected system. Sending to a single client directly is available on the free plan.

Can clients verify themselves without me sending anything? Yes. Your firm can publish a single public self-serve link that clients open to verify themselves end-to-end, with no staff initiation. Completed self-serve verifications appear on your dashboard tagged as a public form.

Can I brand the email my client receives? Yes. You can replace the default verification email with your own subject, body, reply-to contact and logo, so the request looks like it came from your firm.
